Hub Request Access Overview

Enabling Request Access in your Hub will allow new members who may not have a Hub Invitation or a Hub Join code URL (See Inviting Members to your AdvocateHub) to send a request to Hub admin to join / access the Advocate Hub. The request can then be reviewed, declined or accepted by the Hub Admin. The Request Access option can be used by either Hubs with Single-Sign-On, Multiple AdvocateHubs gateway and regular Hubs.

Request Access for Regular Non-SSO Hubs Setup

How to Enable Request Access Setting:

  1. Login as Hub administrators > Head over to the Gear Icon > Settings > Systems > Login / Security
  2. Under Signup Type > Select "Request Access"
  3. Click "Save Changes"

Setup Profile Fields for Request Access Sign up Page

You have the option to select and add profile fields to the Request Access Sign Up Page so new members can provide more information during the sign-up process. More instructions can be found in Profile Fields on Sign Up and Request Access Page.

Request Access Flow for Non-SSO Hubs

Once set up, here's how the users will see this page and how you can test the user journey:

  1. Open an Incognito Window in your browser and paste go to your AdvocateHub URL where you will be directed to the Sign In Page.
  2. If your Hub is set to Request Access, there will be a link at the Sign In page to "Request Access to join" where the users can click.

  3. Clicking the link will direct you to the Request Sign Up Page to fill out your information.

  4. Click Request to Sign Up button to submit your request. You will get a confirmation message once you submitted the request. Currently, it's not possible to customize this message.

  5. The Request will appear on the Administrator Dashboard for the administrator to review. Go to "Approve or Decline Request Access".


Request Access for SSO Hubs Setup

We would recommend setting up your SSO setup first before selecting Request Access Hub Sign in Type. If you do not see the Request Access option in your Hub, please contact support@influitive.com.

How to Enable Request Access Setting:

  1. Login as Hub administrators > Head over to the Gear Icon > Settings > Systems > Login / Security
  2. Under Signup Type > Select "Request Access"
  3. Click "Save Changes"

Currently, it's not possible to select and add profile fields in the sign up / request access form for SSO Hubs. We recommend adding the field forms in the SSO login portal instead since the Hub Sign Up page will not be visible.

Request Access Flow for SSO Hubs

Once set up, here's how the users will see this page and how you can test the user journey:

  1. Open an Incognito Window in your browser and paste go to your AdvocateHub URL. You should be directed to the Single Sign On login portal.
  2. After you've signed into the SSO portal and you will be greeted with this message.
  3.  Clicking the Request Access button and you will receive a confirmation message that the request is being reviewed.

  4. The Request will appear on the Administrator Dashboard for the administrator to review. Go to "Approve or Decline Request Access".

Approving or Declining Access Requests

  1. To view the pending Join Requests, sign into your Hub Administrator account > Switch to Admin View > Home.

  2. Go to your Items to Review > Next to Join Requests, click Review. You will be brought to the following review page:

  3. Clicking "Accept" will give you two options:

    1. Send Invitation: Selecting this option will bring you to the Hub invitation email draft that you can customize send the email invitation (see screenshot below). The email invitation default content will follow the template that you have set in the Invitation Email Setting. However, you can customize it as you like. Once ready to send, click on the blue "Send" button. The user will then be added to the Invite List with status = Invited and the Invitation email will be sent to this user's email address.

      The individual will then receive an email where they will be able to click into the AdvocateHub to sign in using the email and password they set in the request access sign-up page.
    2. Add to Invite List: Selecting this option will accept the user's request and will add the user to the Invite List to be invited in the future. The Status in the Invite List would be Not Invited. The user will not receive any notifications on this and they will not be able to sign in until they are given a Join URL code or be sent a Hub email invitation for them to sign in.
  4. Clicking "Decline" will give you two options:

    1. Send Decline Email: Selecting this option will allow you to send a customizable Declination email to the user so that they will be notified.

    2. Silently: Selecting this option will not send any notifications for the user when you decline the request. The user will be added to the Invite List with an Archived Status.
